This position plays an active part in working with the Managing Director as well as the firm’s clients. We are looking for someone very bright and professional that is motivated to grow along with the firm.

This position requires a pro-active approach and independently carrying out the duties of the position. The ideal candidate should exhibit high standards, excellent communication skills, good judgment, and an ability to take initiative, and prioritize daily tasks. The ability to effectively manage time and multi-task with attention to detail is critical to this role.

MUST HAVE

I. Experience And Education

A bachelor's degree and/or related work experience is preferred
Must have 3-5 years working in a Administrative or Client Service role.
Comprehensive knowledge of financial industry
Expertise in Excel and Word

Client Relationship Management

II. ESSENTIAL RESPONSIBILITIES

Establish a relationship with all of the Advisors and Managers, becoming intimately familiar with the specific requirements for each client in case preparation. This will include working closely with the relationship managers on all clients.
Implement the collection of client data for task assignments to ensure optimum resources are being utilized for timely execution.
Evaluate and assess timely completion of client deliverables and allocation of internal resources
Ensure Salesforce remains current by confirming all tasks, meetings and notes related to the client relationship are accurately captured.
Schedule and confirm all meetings
Establish and maintain strong working relationships with all Managing Directors, Wealth Advisors, Wealth Managers and team members to become familiar with the specific needs of each client.
Serve as the point person for clients and anticipate any requirements associated with each client; serve as the client liaison and provide exceptional customer service.
Establish and maintain positive relationships with existing firm clients to ensure client satisfaction.

Operational Support

Maintain and establish intense calendar management
Answer, route and screen all incoming calls and distribute messages to appropriate team members.
Respond to any inquiries from the public and provide information about United Capital as needed.
Support the Managing Director/Director of Operations by assisting with the fee audit process to ensure performance on the security, portfolio and household level is calculated correctly and timely.
As requested, work directly with the Managing Director/Director of Operations to ensure the quality of portfolio accounting is accurate and timely.
Work directly with Managing Director on special projects and initiatives to help grow the business

Professional Growth & Development

Provide thoughts and feedback relative to operational procedures for servicing clients including making recommendations for increased efficiency within the current process.
Provide support on firm level projects as requested.

A self-starter with a strong sense of ownership, positive professional attitude and demeanor
Must be able to exercise judgment, tact and diplomacy on behalf of executive when dealing with other executives and levels of management
Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook)
Proficient in Google Apps
Experience in Salesforce highly desired
Excellent customer service and oral and written communication skills
Professional and articulate with strong attention to detail
Ability to work efficiently, effectively, and independently, with minimal supervision, and to see projects through to conclusion
Excellent time management and strong organizational skills, and ability to prioritize multiple tasks and anticipate potential problems
